Exhibitor Faqs

How big is my exhibition area ?

Your space is marked on the floor plan. It is carpeted ‘raw space’ to enable you to configure your requirements as you please. Bronze spaces are 3x3m, Silver 6x3m and Gold 6x6m.

Can you help us configure our space ?

Absolutely: We have a number of turnkey stand solutions to allow your space to be fully
configured. Your stand will be built for you by midday on 6 September allowing your staff to arrive ready for start of the event.

Can the Floor Plan change ?

We will endeavour not to make any amendments to the floor plan once it has been published,
however, on rare occasions, for logistical reasons changes may be necessary. Any amendments to stand position, will of course be conducted in association with the Exhibitor.

Can Exhibitors attend the plenary and workshop sessions ?

Yes, all exhibitors are welcome to attend all published plenary and workshop sessions. In addition, new for 2016, we are inviting exhibitors (one representative from each company) to attend the Senior Executive Forum.

Do I get anything included with my space ?

We will provide you with only the exhibition space and a 230v power socket. A free of charge table and two chairs can be provided but this MUST be ordered in advance and by 12 August 2016. Note that all complimentary tables must be covered by a suitable floor length table covering. We have a number of items available for hire to help you configure your space, please refer to the Exhibitor Manual or contact the Events Team.

Do I need to book extras or can I get them on the day ?

You must pre-book any extras such as furniture and/or AV equipment before the event to ensure these are reserved on your behalf. We do hold a very small number of additional items, available on a first come, first served basis.

What size tables do you provide ?

Your stand should not exceed 2.5 metres in height, unless approved by the Events team. If you
feel your stand will meet or exceed 2.5 metres, please contact the Events team to discuss.

Is there a height restriction for my exhibition space ?

We will provide a 120cm x 80cm table. Please note: It is the exhibitors’ responsibility and an event requirement to cover this table with a floor length covering, either with your own table covering or by hiring a table cloth from the Events team. If you require a larger table, please speak to the Events Team.

Is WiFi provided ?

WiFi is provided for browsing, however, if internet connectivity is vital to your stand at NIAS, we
would recommend that you purchase a fixed internet connection. Please refer to your Exhibitor
Manual for further details.

How many people can we have on our stand ?

There is no limit, exhibitors may bring as many of their team or clients as they choose. Additional exhibitor passes are available to purchase if the number of team members exceed the number of free passes available. Please note it Is not permitted to share Exhibitor passes.

Do you provide name badges ?

We provide all registered staff with a name/wrist badge which, for security reasons, must be worn at all times on the premises including during set up and break down. Please see the registration process outlined in the Exhibitor Manual.

Do you provide a shell scheme ?

The exhibition space being purchased is ‘raw space’. The Events team have stands available on a hire basis and can provide help to configure your space. Please contact the Events Team for more details.

What type of flooring is there ?

The Exhibition Space is carpeted in Grey while the walkways are in Blue. Under no circumstances can anything be affixed to the floor at any time.

Is there a power outlet provided ?

Power is included as standard and each exhibitor will be provided with one power socket and a
triple adapter. If additional power sockets are required, these are available to purchase from the
Events team on site.

Can I plug my equipment into power outlets at Lotto Mons Expo ?

You are welcome to connect your equipment into the power supply, however, to conform with
Health and Safety requirements, please ensure all equipment is PAT tested.

Can I park close to Lotto Mons Expo ?

There is adequate free of charge parking space adjacent to Lotto Mons Expo available free of charge for all Exhibitors and Delegates.

What are the payment terms ?

Upon receipt of your booking form we will reserve your preferred stand choice. We will raise an invoice when your space is reserved and payment terms are 30 days from date of invoice. However, within 30 days of 6 September (event commencing), payment terms reduce to 7 days.
